This privacy information applies to the websites of the Hoval Group (hereinafter referred to as “Hoval” or “we”). It explains to you how your personal data is collected, processed and used when you visit the websites, use our contact forms, subscribe to our newsletter or enter a competition.
Hoval operates the following websites in order to provide our customers, partners, stakeholders and applicants with information about the products and services we offer and provide an easy way for them to contact us.
Our websites may also include links to other websites. We do not control these other websites. Anyone who visits such websites therefore does so at their own risk. Hoval will not accept any responsibility or liability for other websites like these, their content or practices in relation to data protection.
As the controller, we take the protection of your personal data very seriously. We treat your personal data confidentially and in accordance with Swiss and EU laws governing data protection and this privacy information. We also ensure appropriate and secure processing and apply appropriate measures to protect and maintain the confidentiality, integrity and availability of your data. To make your visit to our websites as smooth as possible, general information about the device you are using, your IP address and the browser type are recorded for technical reasons when you visit the websites.
The data recorded includes the following (this is not an exhaustive list):
This is essential information that is collected automatically for our legitimate interest in accordance with Article 6 (1) f) of the GDPR and is stored in server log files. Temporary storage of the IP address by the system is necessary to enable the website to be presented to the user. For this purpose, the user’s IP address, for example, must be processed for the duration of the session. This processing is also done to ensure the functionality of the website. In addition, we use the data to optimise the website and safeguard the security of our IT systems.
This data is not stored together with any of the user’s other personal data. In accordance with Article 11 of the GDPR, storage of the data that extends beyond this is possible if the data is anonymised. In this case, the users’ IP addresses will be disguised so that it is no longer possible to trace the accessing client.
It is absolutely essential for the data to be recorded in order to make the website available, and for the data to be stored in log files in order to operate the website. There is consequently no option for the user to object to this.
It is possible for users to communicate and make contact with us electronically using the e-mail address that we provide and the contact forms that are provided on our websites. When these contact forms are used, we process both your contact details and the content of your message. This data needs to be specified for the purpose of processing and answering your enquiry and, if it is not provided, we may not be able to answer your enquiry or may at best be able to provide only a limited response.
The data that is recorded includes all the data that you specify when you fill in the forms or in the e-mail, such as (this is not an exhaustive list):
Your data will be deleted after no more than six months, provided that your enquiry has been answered definitively and there are no statutory retention obligations preventing the data from being deleted.
The processing is carried out on the basis of your consent pursuant to Article 6 (1) a) of the GDPR. If you request further information about our products and services via the contact form or would like a quotation, we will treat your enquiry as a pre-contractual measure in accordance with Article 6 (1) b) of the GDPR.
The personal data that you submit is protected and processed in encrypted form. Despite extensive technical and organisational security precautions being taken, it is possible that data may be lost or intercepted and/or manipulated by unauthorised persons. We implement appropriate technical and organisational security measures to prevent this from happening within the system.
The data is deleted as soon as it is no longer required to fulfil the purpose for which it was collected. If the data is used for the purpose of performing a contract or implementing pre-contractual measures, this is the case when there are no longer any lawful grounds to retain the data.
In the event of an objection, correspondence cannot be continued.
On our website, we offer users the option to register by providing personal data. Users need to register to be able to use various services on our website. When this happens, the data is entered into an input mask and then transmitted to us and stored.
The data involved is essentially your contact details and your login details based on the input mask, along with the user’s IP address and the date and time of registration.
The legal basis for processing the data, if the user has provided their consent, is Article 6 (1) a) of the GDPR. If the registration is for the purpose of performing a contract or implementing pre-contractual measures, the legal basis for processing the data is Article 6 (1) b) of the GDPR.
The data is deleted as soon as it is no longer required to fulfil the purpose or when there are no longer any lawful grounds to retain the data.
Users have the option to deactivate their user account at any time by submitting a request to our data protection officer.
The data subject can update and amend their contact details at any time by accessing their user account.
On our website, there is the option to subscribe to a free newsletter. When you sign up for the newsletter, the data from the input mask is transmitted to us.
When you register to receive our newsletter, we will immediately send an e-mail containing a hyperlink to the e-mail address that you specify. When you click on this link, you confirm your registration for the newsletter (double opt-in method).
When you register to receive the newsletter, you consent to the storage of your e-mail address, including the date of registration, your IP address and your contact details. We will use your e-mail address and the personal details that are collected at the same time only for the purpose of administration and for sending the newsletter that you wish to receive.
Our newsletters do not contain any obvious or hidden counters, third-party advertising or links to third-party sites that are not directly related to the content of our newsletter. Each newsletter contains a notice indicating how you can unsubscribe from the newsletter (opt-out option).
The user’s personal data is collected for the purpose of delivering the newsletter and, in the case of existing customers, to notify them about new products and services, offers, events or provide additional information.
If you withdraw your consent by unsubscribing from our newsletter, we will remove you from our newsletter list and delete the data that has been collected for this purpose after no more than four weeks.
The processing is carried out on the basis of your consent pursuant to Article 6 (1) a) of the GDPR. The legal basis for sending the newsletter to existing customers is a legitimate interest in accordance with Article 6 (1) f) of the GDPR on our part.
From time to time, we run competitions. In relation to competitions, we will use your personal data to notify you if you win and to comply with the conditions of participation. You can find more information about competitions in the conditions of participation for the relevant competition.
The data recorded includes contact details and, depending on the nature of the competition, may also include photographs or similar.
The processing is carried out on the basis of your consent pursuant to Article 6 (1) a) of the GDPR.
The data will be deleted as soon as it is no longer required in order to fulfil the purpose for which it was collected, provided that the conditions of participation do not explicitly stipulate otherwise (further use of photographs, for example). If you withdraw your consent, we will delete the personal data collected as part of the competition after no more than four weeks and you will then no longer be considered for the competition.
